Stock Alerts

Never run out of stock. Set alert quantities per product and get notified when inventory runs low.

How Stock Alerts Work

Each product has an optional Alert Quantity field. When the current stock level for that product falls at or below this number, the system flags it as a low-stock item.

1. Set Threshold

Define the alert quantity on each product's form.

2. System Monitors

Stock levels are checked automatically as sales occur.

3. Alert Triggered

Products falling below threshold are flagged in listings.

Setting the Alert Quantity

  1. 1Go to Products > List Products.
  2. 2Click Edit on the product you want to configure.
  3. 3Find the Alert Quantity field (in the product details section).
  4. 4Enter the minimum stock level that should trigger an alert (e.g., 10).
  5. 5Save the product. The alert is now active.

Alert Quantity = 5050 unitsAlert when stock is 50 or below (for high-volume items)

Viewing Stock Alerts

Low-stock products are visible in several places:

  • Product List: Products at or below their alert quantity are highlighted, making them easy to spot when browsing inventory.
  • Dashboard: The home dashboard shows a summary of products needing restocking.
  • Purchase Planning: Use stock alert data to create purchase orders for items that need restocking.

Multi-Location Stock Alerts

If your business has multiple locations, stock is tracked separately at each location. The alert quantity applies per location.

Example: If Product A has an alert quantity of 10, and Location 1 has 5 units while Location 2 has 20 units, only Location 1 will trigger the alert.

Tip: Use stock transfers between locations to balance inventory before placing new purchase orders.

Best Practices

  • Set alert quantities based on your product's lead time. If restocking takes 2 weeks and you sell 5/day, set the alert to at least 70.
  • Review stock alerts regularly as part of your daily or weekly routine.
  • For seasonal products, adjust alert quantities before peak periods.
  • Make sure Manage Stock is enabled on the product -- products without stock management do not trigger alerts.
