Configure how your business accepts payments -- from cash and cards to fully customizable payment types.
The system includes several payment methods available out of the box. These are always available and cannot be removed.
| Method | Description | Additional Fields |
|---|---|---|
| Cash | Physical currency payments | None |
| Card | Credit or debit card payments | Card Number, Card Holder, Card Transaction Number, Card Type (Visa/MasterCard/etc.) |
| Cheque | Payment by cheque | Cheque Number |
| Bank Transfer | Direct bank transfer or wire | Bank Account Number |
| Other | Any other payment type | Transaction Reference |
You can define up to 7 custom payment methods with your own labels. These are useful for payment types specific to your business such as mobile wallets, store credit, gift cards, or regional payment systems.
Where to configure: Go to Settings > Business Settings > Custom Labels. Scroll to the Payments section to rename Custom Pay 1 through Custom Pay 7.
Tip: Only configured custom payments appear in the POS payment dropdown. Leaving a custom pay label blank hides it from users.
Customers or suppliers can make advance payments that are stored as credit and applied to future transactions.
Important: Advances are contact-type specific. A customer advance cannot be applied to a supplier transaction, even if the contact is marked as "Both".
Each payment method can be mapped to a specific payment account for accurate financial tracking.
Benefit: When mapped, every payment automatically records to the correct account, giving you accurate account balances without manual bookkeeping.
For multi-location businesses, each location can have its own default payment account per payment method.
| Setting | Where | Effect |
|---|---|---|
| Business-level default | Settings > Business Settings | Applies to all locations unless overridden |
| Location-level default | Settings > Business Locations > Edit | Overrides business default for that location only |
A single sale can be paid using multiple payment methods. For example, a customer can pay part in cash and part by card.
