Customer Groups & Pricing

Organise customers into groups and set tiered pricing so the right price applies automatically every time you make a sale.

Overview

RapiNova Accounts provides two related but distinct features for working with customer segments:

Feature Purpose Where to Set Up
Selling Price Groups Give customers a different unit price per product (e.g. wholesale vs. retail) Settings > Selling Price Group
Customer Groups Categorise and label contacts for filtering, reporting, and optional discount rules Contacts > Customer Groups

Quick answer: If you want different prices for different customers, use Selling Price Groups. If you want to tag or filter customers (with an optional percentage discount), use Customer Groups.

Selling Price Groups

A Selling Price Group is a named price tier. You create as many as you need -- for example Retail, Wholesale, and VIP -- and then enter a separate selling price for each group on every product variant.

Common Use Cases

  • Wholesale pricing -- lower price for bulk or trade buyers.
  • VIP / loyalty pricing -- exclusive rates for long-standing customers.
  • Member pricing -- special rates for club or membership holders.
  • Export pricing -- different rates for customers in another region or currency bracket.

Tip: The default selling price on a product is always the standard price. Selling Price Groups only override that default for customers who are assigned to a group.

Create a Selling Price Group

  1. 1In the sidebar, go to Settings > Selling Price Group.
  2. 2Click Add Selling Price Group.
  3. 3Enter a descriptive Name (e.g. "Wholesale", "VIP", "Dealer").
  4. 4Click Save. The group now appears in the list and is available when editing products.

You can create as many groups as your business needs. There is no hard limit on the number of Selling Price Groups.

Assign Prices to Products

After creating groups you must enter the price each group should use for every relevant product. Products without a group-specific price fall back to the default selling price.

  1. 1Go to Products and open the product you want to configure (click the edit pencil).
  2. 2In the product form, scroll to the Selling Price section. You will see the default price field followed by one extra price field for each Selling Price Group you created.
  3. 3Enter the price for each group. Leave a field blank to use the default selling price for that group.
  4. 4If the product has variations (e.g. sizes or colours), set the group price separately for each variation.
  5. 5Click Save.

Bulk update: Use the Import Products feature (Excel/CSV) to update group prices across many products at once. The import template includes a column for each Selling Price Group.

Assign a Price Group to a Contact

Once the group exists and product prices are set, link the group to the customer contacts who should receive those prices.

  1. 1Navigate to Contacts and open the customer (or create a new one).
  2. 2In the contact form, find the Selling Price Group dropdown.
  3. 3Select the appropriate group (e.g. "Wholesale").
  4. 4Save the contact. From this point on, all sales to this customer will use the group's prices automatically.

One group per contact: Each contact can only belong to one Selling Price Group at a time. Change the group at any time by editing the contact -- future transactions will use the new group. Past transactions are not affected.

POS Behaviour

Selling Price Groups are fully integrated with the Point of Sale screen. Here is what happens during a sale:

Step What Happens
Customer not selected Products show the default selling price.
Customer selected (no group) Products still show the default selling price.
Customer selected (group assigned) Product prices update automatically to the group's prices. Items already in the cart are repriced instantly.
Product has no group price set Falls back to the default selling price for that product.

Override at sale time: Cashiers with the correct permission can still manually edit the unit price on any line item, even when a group price has been applied. This is useful for one-off negotiations.

Important: Changing the customer mid-sale will re-apply the new customer's group prices to all existing cart items. Confirm the customer before adding products when possible.

Customer Groups (Categorisation)

Customer Groups (accessed via Contacts > Customer Groups) are labels used to categorise and filter your contact list. They also support an optional percentage discount that applies automatically when a grouped customer is selected at POS.

What You Can Do with Customer Groups

  • Filter the contact list by group to view a segment at a glance.
  • Apply an automatic percentage discount to all sales for customers in the group.
  • Link the group to a Selling Price Group for full custom pricing.
  • Export or report on contacts by group.

Create a Customer Group

  1. 1Go to Contacts > Customer Groups.
  2. 2Click Add Customer Group.
  3. 3Enter a Name (e.g. "Staff", "VIP", "Corporate").
  4. 4Optionally enter a Calculation Percentage to apply an automatic discount or link the group to a Selling Price Group for custom per-product pricing.
  5. 5Save. Open any contact and assign them to the group using the Customer Group field.

Tip: You can combine both features -- assign a contact to a Customer Group for categorisation and percentage discounts AND a Selling Price Group for per-product pricing. The two settings are independent.

Frequently Asked Questions

Can I apply a group discount instead of a fixed price?

Yes -- use a Customer Group with a Calculation Percentage for a flat percentage discount on all products. Use a Selling Price Group when you need different fixed prices per product.

What if a product has no price set for a customer's Selling Price Group?

The system automatically falls back to the product's default selling price. No error occurs and the sale proceeds normally.

Can I see which price group was used on a past sale?

The sale record stores the actual unit price used at the time of the transaction. You can review this in Reports > Sales Report or by opening the individual transaction.

Will changing a contact's group affect previous sales?

No. Past transactions are locked to the prices that were in effect at the time. Only new sales made after the group change will use the updated pricing.

Can I restrict which cashiers can see certain price groups?

There is no per-group permission. All enabled groups are available in POS once the customer is selected. Use role-based permissions to control whether staff can manually override the unit price on a cart item.

Where do I set up Selling Price Groups?

Go to Settings > Selling Price Group in the left sidebar. After creating groups there, the price fields appear automatically inside each product's edit form.
